Administrative Specialist

Reporting to the Administrative Coordinator, the Administrative Specialist will provide a broad range of operational, administrative, and coordination to the Academic Operations unit by working with the college's faculty teams and the Academic Program Managers to facilitate successful staffing, communications, events planning, and College publications such as the Student Handbook and policies and processes.
The Administrative Specialist will continuously seek, trial, and evaluate efficient, technology-enhanced, or self-serve methods to enable smooth faculty processes and transitions.
HOW YOU'LL MAKE A DIFFERENCE
- Provide operational and administrative support to academic programs, ensuring smooth staffing, onboarding, and event coordination.
- Provide high-level planning and support for the faculty's workflows, staffing, processes, technology, event management, and general operational requirements.
- Assist with the onboarding of new staff, including documentation, workspace setup, and access to college systems.
- Maintain staffing inventories and track changes to ensure instructional needs are met.
- Support college-wide events such as Open House, Convocation, and Academic Learning Day.
- Collaborate with Human Resources, Facilities, and IT to coordinate hiring processes and access requests.
- Promote cohesive information dissemination and recognition by regular communications impacting academic operations.
WHAT YOU BRING
- Minimum qualification of an applicable diploma and 3+ years of related experience in a post-secondary institution.
- Additional experience with facilitating hiring processes would be a strong asset.
- Strong technical skills with Microsoft Office, Teams, and the ability to adopt new systems quickly.
- Familiarity with PeopleSoft is an asset
- Experience managing multiple priorities in a fast-paced environment.

SALARY: AUPE Band Level 6 | Administrative Assistant III | $49,129 - $63,854 reflective upon what you bring AKA your education and experience. This is a full-time, permanent position with the Alberta Union of Provincial Employees (AUPE).
