Reporting to the Manager, Olson Centre for Health Simulation, the Simulation Centre Coordinator provides centralized operational, administrative, and service coordination for the Olson Centre for Health Simulation.

 

This role plays a critical part in supporting simulation-based learning by coordinating complex schedules, room bookings, purchasing activities, inventory processes, and session logistics. Working closely with simulation educators, faculty, technologists, learners, simulated participants, vendors, and external partners, the Coordinator helps ensure simulation activities are scheduled, resourced, and delivered effectively. The position contributes to a safe, inclusive, confidential, and learner-centered environment while supporting educational activities, external partnerships, and continuous operational improvement.

 

 

HOW YOU’LL MAKE A DIFFERENCE

 

  • Coordinate rooms, equipment, and resource bookings while maintaining the master simulation calendar for the Olson Centre and Faculty of Health.
  • Review booking requests, identify scheduling conflicts, coordinate changes, and communicate logistical information to faculty, staff, learners, and external partners.
  • Coordinate tours of the Olson Centre for internal and external stakeholders and ensure appropriate resources and spaces are available.
  • Manage purchasing and inventory processes, including quotes, purchase requisitions, purchase orders, receiving records, vendor communication, and invoice support.
  • Maintain supply inventories and coordinate procurement and delivery of simulation supplies, equipment, and specialized resources.
  • Support the planning and delivery of simulation-based learning activities, external contracts, tours, and special events.
  • Coordinate learner documentation, session materials, certificates, attendance records, and simulation readiness requirements.
  • Monitor the Centre's shared inbox, respond to inquiries, provide service information, and coordinate meetings, tours, and visitor logistics.
  • Coordinate operational requirements for fee-for-service, workforce development, assessment, remediation, and partnership activities.
  • Support continuous improvement initiatives through records management, reporting, documentation, quality improvement activities, process development, and project coordination.

 

 

WHAT YOU BRING

 

  • Two-year diploma in Business Administration, Office Administration, Project or Event Coordination, Health Administration, Operations Management, or a related field. Equivalent combinations of education and experience may be considered.
  • Minimum three years of progressively responsible experience in operations, scheduling, administration, project coordination, event logistics, or a comparable service environment.
  • Completion of Art of Simulation 1 & 2 within the first month of hire.
  • Demonstrated experience managing complex calendars, room bookings, competing priorities, and frequent schedule changes involving multiple stakeholders.
  • Experience with purchasing, procurement documentation, inventory control, vendor communication, invoice support, and budget tracking.
  • Strong proficiency with Microsoft 365, including Outlook, Teams, Excel, Word, SharePoint, and Forms.
  • Strong customer service, communication, organizational, and relationship-building skills, with the ability to manage sensitive information and competing priorities.
  • Experience supporting simulation centers, learning laboratories, healthcare education, post-secondary environments, or external training contracts is considered an asset.

  • Work independently to organize daily operations, identify process improvements, and recommend enhancements to simulation services and workflows.
  • Exercise sound judgment when handling confidential information, safety concerns, operational issues, and situations requiring escalation to leadership.

 

 

SALARY: AUPE Band Level 7 | Advisor I | $59,038 - $76,702 annually reflective upon what you bring AKA your education and experience. This is a permanent full-time position with the Alberta Union of Provincial Employees (AUPE).
