Reporting to the Team Lead, Talent Acquisition, the Talent Acquisition (TA) Administrator provides administrative support to a team of TA Specialists contributing to a consistent and exceptional hiring leader and candidate experience. The TA Administrator will also support the Director, People & Talent Operations, and support the labor relations function of the People team.
Working collaboratively with TA Specialists, Director, People & Talent Operations and HR Business Partners, this role provides day to day support of the TA process requirements, including job postings, resume screening, interview scheduling, facilitate pre-employment checks, drafting employment letters and competition file closures. The role will also contribute to the development or updating of policies and procedures to support the TA process. This role provides administrative, coordination, and records‑management support for Labour Relations, ensuring accurate tracking, organized documentation, and effective information sharing with internal and external stakeholders.

HOW YOU’LL MAKE A DIFFERENCE:
- Develop creative, professional job postings utilizing various internal and external sources, websites, organizations, and partnerships.
- Assist with resume screening and distribute resumes in a timely manner.
- Schedule interviews with potential candidates and arrange boardrooms.
- Conduct reference checks in an efficient and customer centric manner.
- Facilitate the education verification process to ensure in compliance with the Faculty Collective agreement.
- Maintain recruitment materials by ensuring records are organized and filed in a timely manner.
- Prepare interview material packages for hiring panels.
- Assist with and respond to external inquiries, as well as internal employee inquiries related to talent acquisition administrative matters.
- Provides coordination and operational support to the Director of People & Talent Operations to enable effective execution of talent initiatives.
- Provides confidential operational and administrative support to management in the administration of Labour Relations and employee relations matters.
- Preparing, organizing, and maintaining confidential records and documentation related to grievances, investigations, and disciplinary matters.
WHAT YOU BRING:
- Completion of, or working towards, a Diploma in a related field (human resources, management, business, commerce). Equivalencies will be considered.
- A minimum of 1 years’ experience as an administrative professional with experience in HR.
- Experience in administration of recruitment related activities, including writing job ads, screening resumes, scheduling interviews, pre-employment checks, drafting offers of employment preferred.
- Experience supporting senior leadership preferred.
- Experience supporting labor relations function within HR preferred.
- Experience in a unionized environment.
- Strong experience with Microsoft Word, Excel, Outlook, and Teams.
- Working with PeopleSoft, Applicant Tracking Systems, and other HR systems.

SALARY: $45,755 - $59,471 annually, reflective upon what you bring AKA your education and experience.
